What is a WhatsApp message template?

A WhatsApp message template is a pre-written message format that Meta reviews and approves before a business can send it through the Official WhatsApp Business API. Businesses cannot send arbitrary free-form messages to someone who has not messaged them first; approved templates are the mechanism that makes outbound messaging possible.

Why WhatsApp requires templates at all

The Official WhatsApp Business API restricts what a business can send to someone who has not messaged the business within the last 24 hours. A template is the exception: once Meta approves its wording and category, it can be sent to start or continue a conversation, which is what makes RSVP requests and reminders possible at scale.

Step 1: Decide what the message needs to say

A template's wording cannot be changed after approval without resubmitting it, so start with the event detail the message exists to carry an RSVP request, a venue change, a reminder and nothing else. Variable fields like the guest's name or the event name are inserted at send time, not written into the approved text.

Step 2: Submit it for approval

Templates are submitted through WhatsApp Business infrastructure with a name, a category (such as utility or marketing) and the message body. Approval is reviewed by Meta against their messaging policies rather than issued instantly.

Step 3: Connect the approved template to the account

Sending through the Official API needs a phone number ID, an access token and the approved template's name, configured once against the business's own WhatsApp number. Messages then go out from that number, not a shared or generic one.

Step 4: Match the template to the moment

An RSVP request, a reminder to guests still pending, and a venue-change notice are different messages with different urgency the same template is not right for all three. Keeping a small set of approved templates, each for one purpose, is easier to manage than one template stretched to cover everything.

Step 5: Track what went out and when

Once a template is sent, the useful record is not the message itself but what happened after it who replied, who is still pending, and whether a reminder has already gone to that guest. The template is the delivery mechanism; the guest record is what the planning team actually works from.

How Lighter uses WhatsApp templates

Lighter sends RSVP requests, template-based updates and reminders through the Official WhatsApp Business API using an approved template connected once in Settings. Each send is logged against the guest or crew member it went to, so the team can see who was actually messaged, not just that a campaign ran.

Practical implementation checklist

  • Write the template for one purpose RSVP request, reminder or update not all three.
  • Submit the exact wording for approval before relying on it for a live event.
  • Connect the approved template to the business's own WhatsApp number, not a shared one.
  • Keep a small set of templates rather than one template stretched to fit every message.
  • Check who a message actually reached, not just that the send succeeded.

Frequently asked questions

Can a business send any WhatsApp message it wants through the API?

No. Outside of a 24-hour window after the recipient messages first, the Official WhatsApp Business API requires an approved template for outbound messages.

How long does WhatsApp template approval take?

Approval timing is set by Meta's review process and is not instant; businesses should submit templates ahead of when they are needed for an event.

Can one WhatsApp template be used for RSVP requests and reminders?

It can, but a template written for one purpose is usually clearer than one stretched to cover several different messages.
