Wedding Room Allocation: How to Assign Guest Rooms Without a Whiteboard
Wedding room allocation usually lives on a whiteboard or a separate spreadsheet from the guest list. Here is a process for assigning rooms by category and family that stays in sync with who is actually coming.

What is wedding room allocation?
Wedding room allocation is the process of assigning specific rooms at a venue or hotel to specific guests or families, based on room category, floor and occupancy, so that every confirmed guest who needs accommodation has a room before the event rather than at check-in.
Why a whiteboard stops working past a certain guest count
A whiteboard or a side spreadsheet can track room assignments for a small guest list, but it is disconnected from the guest list itself. When a plus-one is added or a guest cancels, the room board has to be updated separately and often is not, which is how a venue ends up with an empty room and a family sleeping somewhere unplanned.
Step 1: Build the room inventory first
Before assigning anyone, list every room by category for example Deluxe, Suite, or whatever naming the venue uses with its floor and room number. A room inventory that already exists in a spreadsheet can be imported directly, with columns mapped to match whatever headings the sheet already uses.
Step 2: Assign by family before splitting individuals
Start by putting a whole family or travelling group into a room or block of rooms together, then split out individual guests only where needed for example, when a family is larger than one room holds. Assigning the group first and splitting afterward is faster than assigning each person one at a time.
Step 3: Keep occupancy visible while assigning
A room's category, floor and current occupancy should be visible at the moment of assignment, not discovered afterward. This is what prevents the same room being assigned to two different families by two different people working from different copies of the plan.
Step 4: Treat the room plan as a working document, not a final one
Room needs change as RSVPs come in and plus-ones are confirmed late. A room assignment made three weeks out should be easy to move a guest from one room to another, not a decision that requires rebuilding the plan.
How Lighter handles room allocation
Rooms are organised by category and floor, with room numbers assigned automatically and a drag-and-drop or dropdown move to assign a family and then split it by guest. The room plan reads directly off the same guest list the RSVPs update, rather than a separate document someone has to keep in sync by hand.
Practical implementation checklist
- Build the full room inventory by category and floor before assigning anyone.
- Assign travelling families and groups to rooms together first.
- Check occupancy at the moment of assignment, not after the fact.
- Keep the room plan updated as RSVPs and plus-ones change late.
- Confirm the room plan and the guest list are the same data, not two documents.
Frequently asked questions
What is the best way to allocate wedding guest rooms?
Build the room inventory by category and floor first, then assign travelling families as a group before splitting out individual guests as needed.
Should room assignment be tracked separately from the guest list?
Keeping them connected reduces the risk of a room being assigned to a guest who has since cancelled, or a confirmed guest having no room at all.
Can a room inventory be imported from an existing spreadsheet?
Yes, where the import supports mapping the sheet's own column headings to the right fields rather than requiring a specific template format.
